Why the technology serves the event, not the other way round

Sound and lighting at an event are not an end in themselves. They are there to support: the managing director’s speech should be understood in the back row, the music should carry rather than boom, and the light should create an atmosphere that fits the occasion – businesslike at a company party, festive at a gala, relaxed at a summer party. At EVENT DJs Berlin, Malte and Dennis therefore always plan the technical side from the event outwards: how many guests are coming, how is the room laid out, are there speeches, will there be dancing? Those answers determine what is really needed – not a standard list.

A PA that fits your guest numbers and room

The PA system is the heart of every event. What matters is not maximum volume but even coverage. A small reception with 40 guests in a loft calls for a completely different solution from a company party with 300 people in a hall with high ceilings and plenty of reverberation.

As a rough guide:

• Up to approx. 50 guests, smaller room: compact active speakers are perfectly adequate for background music, announcements and casual dancing.
• 50 to 150 guests: a more powerful PA with clean coverage of highs and bass, often supplemented by additional speakers for even sound throughout the room.
• From 150 guests, or large/reverberant venues: several speaker positions, subwoofers where needed, and a system that still sounds clear and punchy with a full dance floor rather than distorting.

Room acoustics matter too: stone, glass and high ceilings call for different settings from a marquee or a room with carpet and curtains. Choosing the equipment for the guest numbers and the venue rather than to a standard formula not only saves money, it also stops conversations at the next table having to be held at PA volume.

Ambient and dance floor lighting – atmospheric, not garish

Light plays a large part in how a room feels. At company and business events we deliberately use restrained, high-quality lighting rather than harsh effects: warm ambient light that shows off the walls and the space, discreet accent lighting for buffet or lounge areas, and dance floor lighting that only becomes more intense once people are actually dancing. That keeps the venue elegant during the reception and dinner, while the dance floor gets its own energetic atmosphere later – without looking like a nightclub. At corporate events and galas in particular, that difference is decisive for the overall impression.

Outdoor and battery solutions for venues without fixed infrastructure

Summer parties in a garden, events on roof terraces or in marquees place different demands: there is often no continuous power supply, and the equipment has to be weatherproof. For such cases we use battery-powered and weather-resistant solutions that run reliably for several hours without a fixed power source. It is important to clarify that early – ideally with your enquiry – so that we bring the right equipment and there are no surprises on the day.

Clarifying power and venue conditions early

Many technical problems arise not from the equipment itself but from a lack of coordination beforehand. You – or we together with the venue team – should clarify the following points in advance:

• How many power connections are available at the set-up point, and of what kind (fusing, phases)?
• Is there a separate circuit for the technical equipment, away from the kitchen or refrigeration?
• How is access for the set-up arranged (approach, lift, time window)?
• Are there volume restrictions or curfews imposed by the venue or the neighbourhood?

When these questions are settled early, the set-up runs smoothly and without time pressure.

An unobtrusive set-up that suits the venue

Technology should support the overall picture of an event, not dominate it. So we plan cable runs so they do not cross guest areas, hide equipment behind discreet covers or decoration where possible, and set up early enough that everything is finished and tidy by the time guests arrive. At formal venues and corporate occasions we take particular care that cables, cases and stands do not disturb the visual impression.

Backup in case of equipment failure

Even the best equipment can fail – a burnt-out cable, a faulty amplifier, a technical problem at the worst possible moment. That is exactly why Malte and Dennis have worked as a well-rehearsed two-DJ team with double cover for over 20 years: spare units are on site, critical components are redundant, and if the worst happens a solution is ready immediately, without your event stalling.
