Cancellation terms are usually staggered, depending on how close to the event the cancellation comes. How does a professional DJ booking work?
The first enquiry is usually followed by a short conversation about the key details: date, venue, guest numbers and the scope of service you want. On that basis the DJ prepares a quote which, once accepted, becomes a written order confirmation or contract. Only with that written confirmation is the date firmly reserved. This structure protects both sides: you know exactly what you are getting, and the DJ blocks the date for you bindingly.
What should the contract cover?
A meaningful DJ contract, or order confirmation, should clearly name at least the following points:
- Scope of service: Which package is booked – a pure DJ performance, or one including sound and lighting plus a wireless microphone? What exactly is included, and what is not?
- Date, times and open end: The start and the planned finish, plus the arrangement for the event running longer than planned. Additional hours should have a clear price attached.
- Equipment and set-up times: Which equipment is provided, when do set-up and pack-down happen, and which conditions (power, access) does the venue have to meet?
- Cover if something goes wrong: What happens if the booked DJ is unavailable at short notice or equipment fails? For corporate clients this point matters particularly, since an event that falls through can hardly be made good on the day.
- Payment terms: The amount and due date of the payment, and invoicing.
- Cancellation terms: Staggered arrangements depending on when the cancellation comes.
Once these points are set out in writing, there is no room for interpretation on the day itself – an advantage for you as the client and for the DJ alike.

Payment, invoicing and payment terms
After the event – or before it, depending on what is agreed – a professional DJ issues a proper invoice with everything the accounts department needs: a description of the service, the net amount, VAT where applicable, the invoice date and the payment term. That matters particularly for corporate clients who book the expense against a budget or a cost centre. Clear, professional invoicing is a simple but reliable sign that you are dealing with a serious supplier.
Cancellation terms: what is customary?
Should an event have to be cancelled, staggered cancellation terms apply: the closer the cancellation is to the event date, the higher the cancellation fee usually is, because the date can hardly be filled otherwise by then. With an early cancellation, well before the event, the terms are generally more generous. The exact deadlines and percentages should – like every other point – be clearly set out in the contract or order confirmation, so that there are no misunderstandings if a cancellation does happen.
